SolasMind supports the delivery of psychiatric services via telehealth and secure digital systems. We take reasonable steps to protect privacy and confidentiality. However, no electronic system can be guaranteed to be completely secure.
Telehealth
Telehealth consultations may be conducted using Clinics to Cloud (or another secure platform selected by the treating psychiatrist). You are encouraged to attend telehealth appointments in a private location using a secure device and internet connection.
Email communication
We use Microsoft 365 / Outlook for practice email. Email is primarily used for administrative communication such as booking enquiries, referral coordination, accounts, and documentation exchange.
Email is not a fully secure method of communication. By contacting us via email, you consent to the use of email for administrative communication and acknowledge the inherent privacy risks. We do not provide clinical advice via email.
Online forms
Information submitted via website forms is used for referral and administrative purposes and handled in accordance with our Privacy Policy. Submission of forms implies consent to the collection and use of information for these purposes.
Transcription and clinical documentation
The treating psychiatrist may use Heidi transcription technology to assist with drafting clinical notes. Transcripts and drafts are reviewed by the clinician and incorporated into the medical record where appropriate. The clinician remains responsible for the accuracy and content of all clinical documentation.
Data access and retention
Access to systems is restricted to authorised personnel. Information is retained in accordance with legal and professional obligations.
